Clearwater County is part of the Ninth Judicial District, which covers a large stretch of northern Minnesota. Judges in the district rotate between counties, so a judge assigned to your case may be based elsewhere in the district.

The best place to start is the Minnesota Court Records Online portal, known as MCRO. You can reach it at publicaccess.courts.state.mn.us. Basic case index searches are free. No account or login is needed to look up a name or run a case number search.

Go to the case search page and enter either a party name or a case number. You can filter by county, case type, and date range to narrow your results. Each result shows the case number, party names, filing date, case type, and current status. Click into any case and you'll see the full register of actions, which lists every document filed and every hearing held from start to finish.

Two other search tools round out the system. The Hearing Search lets you see cases scheduled on a particular day, which is handy if you want to know when to show up in court. The Judgment Search covers money judgments entered in civil cases and is useful for creditors, attorneys, or anyone researching a party's financial history.

Not all records show up online. Juvenile cases, certain sealed matters, and records restricted under Minn. Stat. § 13.84 may be withheld from public view. If a case you need doesn't appear in MCRO, contact the court administrator's office directly and ask whether the record is available by request.

Note: When running a search, filter results to Clearwater County so you don't pull up cases from other districts that happen to share a party name.

What Clearwater County Court Docket Records Show

A court docket is the official log of a case. Every entry records the date, the type of action taken, and any orders issued. When you pull a Clearwater County court docket, you'll see things like when a complaint was filed, when parties were served, what motions were submitted, and how the judge ruled at each stage.

The Clearwater County District Court handles a wide range of case types. Criminal cases include felonies, gross misdemeanors, misdemeanors, and petty misdemeanors. Civil cases cover money disputes, contract claims, and property matters. Family cases include divorce, legal separation, custody, child support, and name changes. Probate cases deal with estates, wills, and guardianships. All of these appear in the same docket system.

Each case record in the docket includes party names, the case number, the assigned judge or judicial officer, the filing date, and the full register of actions. That register is the backbone of the docket. It shows every document filed, every scheduled and completed hearing, and the final outcome, whether that's a verdict, a settlement, a dismissal, or something else entirely. If you're doing legal research or checking on a case you have a stake in, the docket gives you a thorough timeline of what happened and when.

Clearwater County Court Docket Copy Fees

Viewing the case index and register of actions through MCRO is free. You don't pay anything to run a name search, pull up a case number, or read through docket entries online. That covers most basic research needs.

Certified copies cost $14.00 per document. This fee is set by state statute under Minn. Stat. § 357.31, which applies to all Minnesota court administrators. Uncertified paper copies may carry a per-page fee depending on what you're requesting. Call the court administrator's office at (218) 694-6180 to get the current rate before you visit or send a request by mail.

Mail requests go to the court at 213 Main Ave N, Bagley, MN 56621. Include the case number, the names of the parties, and a check or money order for the fee. If you don't know the exact fee, you can write and ask before sending payment.

Some court documents can also be accessed directly through the Document Search feature in MCRO. Document download fees vary by file type, and not every document is available this way. It's worth checking there first if you need a specific filing and want to avoid a formal copy request.

Courthouse Access and Public Terminals

The Clearwater County courthouse is open Monday through Friday, 8:00 AM to 4:30 PM. Public access terminals inside the building connect directly to MCRO and give you access to the same search tools available at home. Staff at the counter can help if you get stuck or need to pull up an older case that may not be fully indexed online.

In-person visits are especially useful when you need to review a physical case file. Older cases may exist only in paper form and won't appear in electronic searches. Ask the court administrator's office to pull a physical file for you. Staff can tell you whether a particular record is available and how long access might take to arrange.

New case filings are accepted at the counter during business hours. The public generally cannot e-file directly. Attorneys submit documents electronically through the state's e-filing platform, but self-represented parties file in person at the courthouse or by mail.

Legal Help for Clearwater County Court Matters

The Minnesota Judicial Branch runs Self-Help Centers at courthouses around the state. These centers are staffed by people who can help you find the right forms, understand filing deadlines, and learn how the process works. They don't give legal advice, but they can point you in the right direction if you're handling a matter on your own.

For legal aid referrals in northern Minnesota, contact the court administrator's office or ask at the Self-Help Center. Free or reduced-cost legal help may be available for people who qualify based on income, particularly in family law and civil matters.

If you need a statewide criminal history record, use the BCA Criminal History Search operated by the Bureau of Criminal Apprehension. That system is separate from court docket records and draws on law enforcement data maintained across the state. Court docket records and BCA records are not the same thing and may differ in what they show.

The Access Case Records page from the Minnesota Judicial Branch explains what records are public, what's restricted, and how to make a formal request for records not available through MCRO. Minnesota's Data Practices Act, codified at Minn. Stat. § 13.90, sets the legal rules for public access to court data. For expungement questions, see Minn. Stat. § 609A, which covers the process for sealing criminal records in the state.
